The Renew Card function allows you to block a previously-issued card so that it cannot be used on locks. It does not require that you have the previously-issued card in your possession.
Using Renew Card to block Guest cards is possible, but it may not be the best option in all Guest card situations. Additional options for managing Guest card access to locks are listed at the end of this article.
The Renew Card button can be found on the following screens:
Staff MGMT --> Master Card Issue
Staff MGMT --> Staff Card Issue
Staff MGMT --> Forbid Card
To block all previously-issued cards (including Guest cards) for specific locks:
- Go to Staff MGMT --> Master Card Issue
- Place a new (blank) card on the encoder
- Click on the Master Card button on the left-hand side of the screen
- Click on the Issue Card button on the right-hand side of the screen - this will issue a new Master Card
- Leave the card on the encoder and then click on the Renew Card button below the Issue Card button
- A popup will display to confirm that you want to block the previously-issued card
- Click OK
- The encoder will beep, indicating that the card has been renewed (the card information on the screen will not change)
- Important! Take the Renew Card you just issued and tap the relevant lock(s)
- That lock(s) will now be blocked from using all previously-issued cards including Guest cards (you will need to issue new Guest cards for current guests)
- If you want to block access to all locks, you will need to tap all locks with the Renew Card
To block previously-issued Staff cards (Building Card, Floor Card, Maintenance Card, Room Range Card, Clean Up Card):
- Go to Staff MGMT --> Staff Issue Card
- Place a new (blank) card on the encoder
- Select the type of card you want to manage (Building Card, Maintenance Card, etc.) and complete the steps to define the card parameters (staff member name, building select, start and end date, etc.)
- Click on the Issue Card button on the right-hand side of the screen
- Leave the card on the encoder and then click on the Renew Card button below the Issue Card button
- A popup will display asking you to confirm your action
- Click OK
- The encoder will beep, indicating that the card has been renewed (the card information on the screen will not change)
- Important! Take the Renew card you just issued and tap the relevant lock(s)
- That lock(s) will now be blocked from using all previously-issued Staff cards specific to the type of card you issued (example - Maintenance Card for Employee X for Rooms 101-105, once you tap on Rooms 101-105 with the Renew Card, those locks will be blocked for that employee)
To block a specific Master Card, Staff Card, Setup Card, or Forbid Card (does not work for Guest cards):
- Go to Staff MGMT --> Forbid Card
- Use the drop-down list at the top of the screen to select the category of card you need
- The screen will populate with all issued cards in that category
- Place a new (blank) card on the encoder
- Select the card(s) on the list that you want to block (make note of the card number(s))
- Click on the > button to move the selected card(s) over to the box on the right
- Click on the Delete button below the box (You can use Delete All if you've selected multiple cards)
- Click on the Renew Card button
- A popup will display, asking you to confirm your action
- Click OK
- The encoder will beep, indicating that the card has been updated
- Additionally, the selected card(s) will disappear from the Delete box
- To confirm your action, leave the card on the encoder and click Read Card
- A popup will appear confirming that you've issued a Forbid Card for the selected Master Card(s) (or Staff, Setup, or Forbid card) - you can compare the popup information with the card number(s) you selected from the list
- Important! - Take the Forbid Card you just created and tap the relevant lock(s)
- That lock(s) will now be blocked from access by the specific card(s) you just forbid
Additional options for managing lost/stolen/unreturned Guest card access to a specific lock:
- At/after check out time
- The lost/stolen/unreturned card will automatically deactivate in IGRMS at the assigned check-out time in IGRMS, and the room will display as vacant
- Issue a new Guest card for the room (with new check-in/check-out parameters)
- Use the new Guest card to open the relevant lock
- Once a new Guest card is used to open the lock, the previously-issued Guest card will no longer have access
- Before check out time
- Issue a new Guest card for the room
- Use the new Guest card to open the relevant lock
- Once the new Guest card is used to open the lock, the previously-issued Guest card will no longer have access
