- Black handheld programmer (provided with the locks at original deployment)
- USB cord (provided with the locks at original deployment)
- Authorization card (white authorization cards with 5 digit number, also provided at original deployment)
- Access to the Hotel Intelligent Management System (RMS) via a Windows computer (software used to create RFID cards)
- Encoder (used to program RFID cards)
- Mechanical (metal) override key for each lock (each lock has its own metal key that comes with the lock)
Note - the USB cord is a USB-A to USB-C data transfer cord. If lost, a replacement can be purchased at any retailer of your choosing.
If the handheld programmer, encoder, or mechanical (metal) keys are lost, they must be replaced through OpenKey or the lock manufacturer, H2O Hospitality.
OpenKey no longer sells locks but does have a limited supply of lock inventory still available for purchase on an "as-is" (no warranty) basis. Contact OpenKey at support@openkey.co for more information.

Important! If your locks have previously been programmed, you must clear existing programming before you can add new lock programming.
- Insert the mechanical (metal) key into the lock on which you wish to clear programming and turn the key.
- While keeping the key turned, swipe the Authorization card three (3) times slowly in front of the lock while the lock is flashing red.
To program locks, start by downloading room information onto the handheld programmer.
1. Connect the encoder to your windows computer.
2. Use the USB cord to connect the handheld programmer to your windows computer.
3. Open the Hotel Intelligent Management System (RMS).
4. Click OK to log into the Hotel Intelligent Management System RMS (or if you have added a password, then enter the password) and click OK.
5. Hold the power button (red circle at the bottom) down on the handheld programmer until the device turns on.
6. Select PC Synchronization.
7. On the Hotel Intelligent Management RMS software, click Room Management.
8. Click Room Information.
9. Click Select All if you are programming all locks.
10. If programming only one lock, select the line with the lock you need to program.
9. Click Download. You should see a message on the RMS system saying the operation was successful. The handheld programming device should also show a success message.
Use the downloaded information to program the locks
- Take the handheld programmer and the Authorization Key Card to the lock.
- Hold the Authorization Key Card to the lock for 3 seconds. A blue light should show on the lock when successful.
- If you see a red light, this means the action was unsuccessful.
- To fix, return to the Hotel Intelligent System and read the authorization card.
- Go to Files menu
- Click System setting
- Place the authorization card that came with your encoder on the connected encoder and click Read Authorization Card. This will associate the card with your programmer.
- You can then return to the lock and start again by holding the Authorization card to the lock for 3 seconds. Then, proceed to next step listed below.
- Select Lock Maintenance on the handheld programmer.
- Select Install Lock
- Select the appropriate room number and click the green OK button on the programmer.
- Hold the programmer up to the lock for 3 seconds. You should see an Operation Successful message on the programmer.
