There may be situations when you want to deny lock access to a previously-issued Floor card - for example, a staff member is no longer working at the property, but their Floor card was not returned. The Cancel Card action will block the original Floor card from lock access.
The Cancel Card action is available for all cards except the Authorization card and Guest card.
Authorization cards cannot be canceled or blocked.
Lost/unreturned Guest cards can only be blocked via a Stop Access Card. Hotel Intelligent System Software ~~ How to Issue Stop Access Card/Check Out Card
- First, you may want to identify which Floor card needs to be canceled. You can see all Floor cards under the Query option and Card Holding Report
- If the card has an Invalid time, the card has already expired.
- If there is no expiration time, write down the card number. You can also print the list and/or export the list.
Note - this Card Holder List Query step is optional. You will also be able to find/query a list of cards in the card cancel step. However, if you have multiple Floor cards, it will help to have the card number of each valid card. The Card Holder List Query will give you that information.
- Once you know which Floor card numbers you want to cancel, click on Card Management.
- Then, select Cancel Card.
- Choose the operator if you know the cardholder, if not leave it on the default of All.
- Choose Floor Card under the card type.
- Type in the card number if you have the info, if not, leave it blank.
- Click Query (button with magnifying glass icon) to display the card information.
- Select the Floor card you want to cancel (if you entered a specific card number during the query, you will only see that card on the list).
- Put an empty card on the encoder.
- Click Cancel this card button (trash can icon).
- Once the card has been made successfully, you will see the new card information on the left-hand side.
Important!
- Take the Cancel card you created to each lock on the Floor covered by the original Floor card.
- Tap the Cancel card on each of the locks.
- Without this step, the lock(s) will not receive the Cancel card information.
- Once the Cancel card has been tapped on the locks, the Floor card will no longer be able to open the locks on that floor.
Note - If you have multiple Floor cards that you want to block, you will need to create a separate Cancel card for each one and then tap each Cancel card on each individual lock. There is no option to issue one Cancel card that applies to a group of previously issued cards.
A card that has been canceled can be recovered. See Hotel Intelligent Software System ~~ How to Create a Recover Card
